Ceili Spring ’23 Release Notes

Here is a traditional Ceili’s summary of the upcoming new features and changes in Salesforce’s Spring ’23 release, which will be published between January and February. Salesforce releases an update package three times a year, which contain major and minor reforms. On this page, we have collected the most important updates that may have an impact on your organization’s Salesforce operation, in a compact package.

The blog post briefly introduces each feature in its own paragraph, which also lists the concrete benefits customers will receive and the necessary measures, if there are any in the update. We are happy to help if you need support in implementing new features. You can contact e.g. support@ceili.fi

You can easily find the exact time when Salesforce will install the Spring ’23 Release in your own organization at: status.salesforce.com (Maintenance tab). You can display the information by entering the instance number of your Salesforce organization in the search field, which you can find in Salesforce in your company’s information.

Updates for End Users

Create Personalized Report Filters

You can set a dynamic filter on the reports, and the report will be personalized for each user in a certain way. For example, use the Opportunity report and set the filter to opportunity owner. The filter changes for each user when viewing the report.

Available:

Group, Essentials, Professional, Enterprise, Performance, Unlimited, and Developer

Required actions:

When creating a report filter, select “Use relative value”.

Updates for Admins

Migrate to Flow tool is now available for Process Builder

The Migrate to Flow function was previously only available in the Workflow feature but is now also available in Process Builder. This means that the function can be used to transfer the automations made via Process Builder to Flows. Process Builder is a deprecated feature, due to which it is now possible to change functions to Flows.

Availability:

This change applies to Essentials, Professional, Enterprise, Performance, Unlimited, and Developer editions of Lightning Experience and Salesforce Classic.

How:

From Settings, select Migrate to Flow and select the process you want. Select the criteria you want in Flow. Test Flow in Flow Builder and activate the Flow. Also remember to deactivate the process.

New interactive components

There is a new Beta update to the Screen Flow function, where changes made in the same window are updated directly to the relevant view. The change to the previous one is that before the changes only appeared on the next page. In practice, this facilitates the functionality of Screen Flows and reduces the number of clicks and views.

Availability:

This change applies to the Essentials, Professional, Enterprise, Unlimited, and Developer editions of Lightning Experience and Salesforce Classic.

How:

Choose Process Automation Settings from the settings and join the Beta program. By joining, you accept the rules of the Beta program (View Agreements). After that, you can create a Flow where you take advantage of that feature.

Enchanced Lookup Field and Multiselect Picklist components

You can now add a Lookup Field to the Screen Flow function more easily, and you can select more values ​​from the Multiselect Picklist values ​​more conveniently. Previously, adding a Lookup Field was only possible using its own component, but now it is possible to create them directly with the Flow Screen. The values ​​of the Multiselect Picklist, on the other hand, can now be edited via Drag and Drop tool.

This change applies to the Essentials, Professional, Enterprise, Unlimited, and Developer editions of Lightning Experience and Salesforce Classic.

New Lightning Web Runtime (LWR) template

The new Lightning Web Runtime (LWR) template improves, among other things, the search engine optimization of the online store, the management of product recommendations and the offer feature, enabling product variant-specific offers. In addition, it comes with support for multiple currencies and delivery countries, as well as a further developed and modular Checkout experience without the need for Flow.

The new template uses the same technology and shares components with the B2C Store template. The B2B LWR template offers better performance than the B2B Aura template and is easier to customize, as large components can be broken into smaller parts. We recommend choosing the B2B LWR template for new stores and considering converting your current B2B store from the Aura template to LWR.

Available:

This change applies to all B2B Commerce licenses Enterprise, Unlimited and Developer editions.

How:

When you create a store, under “Choose the Experience You Love”, select B2B Commerce.

Enchanced editing for Lightning Web Runtime (LWR) sites

LWR sites can now use the margin field to edit line spacing around any component. There is a new Spacing tab for this, from which you can make edits easily. Almost all components also have the Padding function, which can be used to fine-tune the appearance of the site.

All LWR sites accessed through Lightning Experience or Enterprise, Performance, Unlimited, or Developer editions of Salesforce Classic

Salesforce Order Management

A new UI view has been added to the Salesforce Order Management product, through which the online store order can be placed on behalf of the customer. In addition, you can monitor and manage the packaging of online store orders, invoice return and cancellation fees, and import order data from external sources using the Connect API.

How:

Use the new “Order on Behalf Of UI” flow to complete e-commerce orders on behalf of the customer. Use the Store Fulfillment App to add products to orders, record a reason for cancellation, or print shipping labels. Include return or cancellation fees in the return via the Connect Rest API, Connect in Apex, or Flow core functions.

Available:

Lightning Experience Developer, Enterprise, and Unlimited editions.

Salesforce Payments

After the Salesforce Spring ’23 Release, the Salesforce Payments product is available for B2C Commerce as well as B2B Commerce as a Lightning Web Runtime (LWR) template implementation, offering card payment options.

Availability:

This change applies to B2B Commerce Enterprise, Unlimited and Developer editions.

How:

Install the Salesforce Payments Package for Commerce Cloud on the same page as your B2B store.

Approve Content and Create Workflows in Enhanced CMS Workspaces (Beta)

You can use CMS workflows (available in enhanced CMS workspaces) to create custom workflows directly from your CMS content. Approvals, translation requests and much more are built into the contents, so they are available in a few clicks. You can start by using the CMS Basic Approval workflow that is pre-built into Flow Orchestrator.

Benefits:

Workflows allow you to manage content publishing and submit content for review and approval directly from the content’s Details page.

Availability:

This change applies to Lightning Experience Enterprise, Performance, Unlimited, and Developer editions.

Required actions:

Setup – Quick Find box – type: Digital Experiences – select: Settings. Under Workflows and approval in Enhanced CMS (Beta), select: Use workflow in CMS and save changes. When workflows are turned on, they appear on the Content Detail Page in your CMS content.

Deploy Enhanced Domains (Release Update)

To comply with the latest browser and security standards, enable Enhanced Domains. With enhanced domains, your company specific My Domain name is included in the URLs that Salesforce hosts for your organization. Consistent domain formats improve user experience and standardize URLs for use in custom code and API calls. Additionally, enhanced domains allow users to access Salesforce from browsers that block third-party cookies. Because this update affects login URLs for apps and browsers, including Experience Cloud sites, Salesforce sites, and Visualforce sites, we recommend that you enable enhanced domains before applying this update. Originally titled Enable Enhanced Domains, this update was first released in the summer of 21.

Lightning Experience and Salesforce Classic, Essential, Professional, Enterprise, Performance, Unlimited and Developer.

Required actions:

Before importing into production, we recommend testing all My Domain changes in a sandbox. Text on the My Domain Setup page specifies whether enhanced domains are scheduled to be automatically enabled in spring 2023. If so, admins will also see a reminder to enable this feature. To complete this update, go to Setup, type Release Updates in the Quick Find box and select Release Updates. Select Deploy Enhanced Domains and follow the instructions in the testing and activation steps.

Monitor More My Domain Settings and Allow Partitioned Domains for Demo Orgs

Enhanced domains are activated for you, unless you postpone the automatic activation. You can monitor the My Domain settings in more detail in Setup – Audit Trail.

In addition, Salesforce plans to make Partitioned Domains available in demo organizations with enhanced domains before summer 2023. Partitioned domains allow Salesforce to maximize the availability of your organizations by rolling out delivery changes incrementally. In partitioned domains, My Domain host names contain a word related to the organization type.

Required Actions:

To ensure uninterrupted access to all your orgs, update the Allowed list, network configuration, and firewall settings to allow all partitioned domain formats.

Availability:

This change applies to Lightning Experience and Salesforce Classic in Group, Essentials, Professional, Enterprise, Performance, Unlimited, and Developer editions. New Developer Edition orgs, patch orgs, scratch orgs, and Trailhead playgrounds get partitioned domains by default. This feature is available in demo organizations with enhanced domains.

MFA Auto-Enablement

Starting February 1, 2022, Salesforce requires all customers to use multi-factor authentication (MFA) when using Salesforce products. To help customers meet this requirement, Salesforce will automatically enable MFA for production organizations in several phases through the MFA Auto-Enablement Release Update. For organizations in the first phase, MFA will be automatically implemented with Spring ’23. For organizations in the second phase, MFA will be automatically implemented in Summer ’23.

Required Actions:

The update will automatically enable this setting: “Require multi-factor authentication (MFA) for all direct UI logins to your Salesforce organization”. If this is already on, there will be no changes.

When MFA is turned on in your organization, the sign-in process changes. After entering the username and password, the user must authenticate with an MFA authentication method, such as the Authenticator application, a security key, or a built-in authenticator. If the user has not yet selected an authentication method when this update takes effect, they will be directed to select it the next time they log in.

To prepare for this update, we recommend doing the following:

  1. Check if your organization has exempt users that need to be manually removed from MFA before MFA is automatically enabled. More information: Exclude Exempt Users from MFA (Salesforce Help).
  2. Teach your users how to register and log in with MFA authentication methods and how to enable them. More information: Change Management for a Successful MFA Rollout.
  3. Note: Users can bypass MFA authentication for 30 days and log in normally. This period starts from the day automation is turned on in your organization.

Lightning Experience, Salesforce Classic, and all Salesforce mobile apps in all versions.

Mass edit, delete, and control Picklist values

Usability of picklist values ​​increases considerably with the new mass editing tool. Picklist values ​​can now be modified in bulk instead of individual values. Especially with large amounts of data, you can save a lot of time. In addition, inactive picklist values ​​can be deleted at once and values ​​can be limited, thanks to which it is possible to maintain the functionality of the org better.

Take advantage of Dynamic forms and actions for more objects

Dynamic forms and functions are now available in more objects. Dynamic form has been a functionality that has been possible in limited objects but has now expanded to Case and Lead objects. In addition, dynamic functions are now available on all standard objects

Meet Corporate Policy by Sending Case-Related Emails with Your Servers

Add connected Outlook or Gmail to the Email-To-Case settings of your account, so case-related emails are sent from your authorized email server instead of Salesforce email services. This allows you to add email filters or rules to tailor outgoing emails to your business and email practices.

Available:

Group, Essentials, Professional, Enterprise, Performance, Unlimited, and Developer editions

Required actions:

Accept “Send emails via external services” in the Email-to-Case settings. After you have verified the routing address, you can combine the address with Gmail or Outlook in its settings

Use a Default No-Reply Address as System Address for Case Email Notifications (Release Update)

Configure a No-Reply email address for organization-wide emails in the system. In this case, all automatic e-mails are sent from the specified no-reply e-mail.

When:

This feature will become mandatory with the Summer 23 Release Notes.

Required actions:

Create a no-reply email address for your organization, go to Salesforce organization-wide emails and add that address as the default no-reply address. After this, you can verify the address from the e-mail sent to the no-reply e-mail address.

Prevent Duplicate Cases with Lightning Threading in Email-To-Case

The integration of Email-to-Case in Salesforce is being renewed and the transition to Lightning Threading is underway. Previously, e-mails were either classified as a new case or connected to an existing e-mail using a reference ID. The new Lighting Threading uses headers (header-based) or a security key (token-based) in the email header or text. If compatibility is not found using these, the metadata related to the e-mail is also checked. This update replaces the reform that came in the Winter ’21 Release Update, which was related to the merging of e-mails and cases. The mandatory transition to the reform has not yet been defined.

Required actions:

If Reference-based ID is used in your org, you can enable Lighting threading in Release Updates. Lightning Threading is automatically turned on if “Do Not Auto-enable New Features” is turned off. If your system has already switched to using header-based threading instead of reference ID or your system was set up between winter 21 and winter 23, you already have one part of Lightning threading in use: header-baser threading. In that case, go to the Email-To-Case settings to also add token-based threading.

Build Custom Forecast Pages with the Lightning App Builder

Lightning App Builder now also allows editing Forecast pages. With the Standard and Custom components, the page can be modified to meet the needs of your own sales process. You can make as many forecast pages as you want, and you can set them active for different user groups. When Collaborative Forecasting is on, you can easily access the Lightning App Builder from the Forecast menu and edit the page from there.

Get More Flexibility for Tracking Forecasts by Custom Date

Previously, Forecasts were only able to define the end date, product date or planned date. In the future, you will be able to use your own Custom date field in Forecast. This helps to make forecasts that are more accurate and more suitable for your own processes.

Track Field History for Activities

Now it is possible to follow the field history of activities, i.e., events and tasks. You can turn on tracking in a maximum of six fields. History monitoring can be started by selecting the desired fields from the Object management tool and adding History to the Related tab on the activities page.

Create an Automated Action

It is now possible for users to easily create their own processes to manage their Cadences using automatic functions. Based on certain criteria, it is easy for users to create simple rules to implement certain actions. For example, to add, delete or pause Cadence goals or change their owner. This feature is available to users with Sales Engagement User or Sales Engagement Cadence Creator rights and Automated Action User rights.

Lightning experience Professional, Enterprise and Unlimited versions in Sales Cloud

Import Contacts and Leads with a Guided Experience

Users can be given the right to import contacts and leads, for example with a CSV file and a simple field categorization user interface. Instead of the old data import tools, users can be given the right to import contacts and leads using Guided Experience, which guides the user better in importing data. The feature is enabled when it is first enabled in the system.

Updates in Pardot (Marketing Cloud Account Engament)

Improve Efficiency in Your Business Unit with Account Engagement Optimizer (Beta)

You can now receive action recommendations that make it easier to maximize efficiency and spot problem areas. The recommendations given by the optimizer can, for example, help improve email sending times and keep visitor tracking smooth. Through the overview, you can see on a general level if something needs attention. You can also pause and prioritize actions using Optimizer’s Table Action Manager. 

Where:

This feature is a Beta service. You can try the Beta service at your own discretion. The Beta service terms apply to the use of the Beta service: Agreements and Terms.

How:

Activate the Beta service from the dashboard or by navigating to the Optimizer page from the Account Engagement settings (Pardot settings). Review your recommendations and act on them if necessary. In some cases, referrals may include a direct link to the referral page.

Monitor External Action Errors to Keep Automations Running Smoothly

You can now review the problems of third-party system integrations and their causes, as well as notice which automations, steps and functions they have affected. Identify, diagnose and fix errors that prevent the planned operation of your automations.

This change applies to: Account Engagement Lightning App Plus, Advanced and Premium.

Mandatory opt-out sync change from July 11, 2023

Pardot will move to accepting only one source prospect for the Opted-Out field between Pardot and Salesforce. From 11.7.2023, the only options for the opt-out source are:

  1. Use Pardot value
  2. Use the value of Salesforce

Current customers have until July 11, 2023, to choose the sync of this field as either of the options mentioned above. If a choice is not made between the two before that date, the syncing of the opt-out field with Salesforce is interrupted. A possible interruption can be resolved by manual sync resync.

For users created after August 26, 2022, the default sync setting for this field is “Use Pardot’s value”.

How:

As a Pardot admin, change the sync of the opt-out field as follows:

  1. Navigate to Pardot Settings > Object and Field Configuration > Prospect Fields
  2. Click on the Opted Out field
  3. Click “Edit default profile field”
  4. To enable syncing, select either “Use Pardot’s value” or “Use Salesforce’s value”
  5. Save the changes made

Please note:

Whichever of the sync options is enabled, it overrides the value of the other opt-out field. For example, if syncing is selected according to the Pardot value, it overrides the value of the opt-out field found in Salesforce, if they differ. It is also good to take into account that when a new selection has been made and the changes have been saved, the “Use the most recently updated” option is no longer available.

Updates in mobile app

Enhanced Reports

Enhanced reports are functionality on mobile that automatically changes reports to a mobile-friendly format. The format of the report enables better usability, faster loading time, automatic wrapping of text in tables, and minimization of browsing. The numbering of the attached image means: 1. Title 2. Information on the report’s title line 3. Data.

New Feature Panel for Mobile actions

New and the old mobile functions have now been collected into a simple entity in the feature panel.
